United Building Maintenance Proposal Template. Click any field to edit it, then use Print to save a PDF.
How to use this template: Click directly into any of the dashed-outline fields to type: client info, scope, pricing, and terms are all editable in the browser. When it's ready, click Print / Save as PDF above and choose "Save as PDF" as the destination; the suggested file name will already include the client's name and the proposal number (which itself builds in today's date, your initials, and a running sequence number), so saved proposals are easy to tell apart later. When you're ready to start the next one, click Create New Proposal, which clears every field on this page and assigns a fresh proposal number, so you can keep reusing this same file instead of hunting down a blank copy. Once a proposal is ready for the client to sign, click Generate Client Link/Email to open a window with two options: Copy Link, which copies a named signing link you can paste anywhere, and Email to Customer, which copies that same link and opens a draft in your computer's default email app with the client's address, subject, and a placeholder line already filled in; paste (Ctrl+V, or Cmd+V on a Mac) over that placeholder line before sending, so the client sees a short, clickable link instead of the long raw address. Either way, the link packages everything you've entered into a page that opens locked against edits, with only the Client Signature box left open, so the client can review and sign it themselves. Since these links live on United's own proposals.unitedfullservice.com address, corporate email filters treat them like any other link from your domain, so flagging is unlikely. The web address itself is still a long, unique-looking string after the domain name (that's what keeps each proposal's link private), so if a client's IT department is unusually strict and something does get flagged, a quick phone call or heads-up email letting them know a signing link is on its way can help.
Client signing link
This link carries everything currently filled in on this proposal, compressed right into the URL, so nothing is uploaded or stored anywhere. Whoever opens it can review the proposal and sign in the Client Signature box, but can't edit anything else. Double-check the proposal looks right before you send it: editing this page afterward won't update a link you've already generated. Copying it into an email or document pastes it as a named link, using the same client and proposal number naming as the saved PDF; pasted somewhere that only accepts plain text, it falls back to just the address.
Copied!
"Email to Customer" copies the link to your clipboard and opens a draft in whatever your computer's default email app is (Outlook, if that's what's set as default) with the client's address, subject, and a placeholder line already filled in. Click into the draft where it says "(Paste your signing link here...)", delete that line, and paste (Ctrl+V, or Cmd+V on a Mac). Most email apps will turn it into a short, clickable link instead of the long raw address. Since it's a United address, it's unlikely to be flagged as spam; if a client ever says they never received it, follow up directly.
